On-the-Ground Coordinator – Zarnesti area (Brasov)

Job Description

This is a 2 months and a half pilot role we're testing in 2025, with plans to define a long-term seasonal partnership starting in 2026. Ideally, it will evolve into a 6-month seasonal role (mid-April to mid-October) that repeats every year.

 

Role Summary

The On-the-Ground Support and Coordinator will be the backbone of our operations in the countryside. Acting as a local point of contact for Romania Active, you’ll play a critical role in ensuring that our both guided and self-guided cycling and hiking tours run smoothly.

You’ll manage logistics, deliver gear and bikes to the guests’ first accommodation. Offer a warm, informative welcome for the self-guided customers. From handling last-minute issues to driving a support van, this is a dynamic role that requires both autonomy and collaboration, strong coordination skills and very good communication.

You’ll work closely with the core team and report directly to the General Manager.


So, what actually do you have to cover:

Guest Welcome & Support for the self-guided tours

  • Provide a warm and informative welcome at the guest’s first accommodation or meeting point.
  • Answer initial questions and explain the tour setup.

On-the-Ground Troubleshooting

  • Be the first line of support for emergencies or logistical hiccups (gear swaps, transfers, surprises).
  • Coordinate with our central team as needed.
  • Manage communication with local authorities in the event of an accident.
  • Check terrain updates and contribute to keeping our roadbooks and documents accurate — using GPS tracks and mapping software.

Logistics Coordination, Equipement & Inventory Management

  • Deliver cycling and hiking gear to clients at the start of each trip.
  • Organize and maintain our new storage space, and manage all tour equipment and stock (including bikes, accessories, repair kits, and branded gear).
  • Maintain an up-to-date inventory, schedule maintenance, and coordinate repairs or replacements as needed. Ensure everything is clean, in good working condition, and ready for each tour.
  • Use your personal car (we'll equip it with a bike rack if needed). As well as drive our Romania Active van whenever needed.
  • In September, drive a support van for 6 consecutive days during a guided tour, transporting luggage, gear, snacks, water, and providing logistical help to the group.

Local Liaison

  • Be the main point of contact with our bike mechanic.
  • Maintain great relationships with local partners (accommodations, restaurants, service providers).
  • Share insights from the field that could improve the guest experience or help us operate more efficiently.

 

 

Who You Are

  • Honest, reliable, and full of integrity. You genuinely love Romania’s nature, people, and countryside culture.
  • A practical, well-organized, hands-on problem-solver who thrives working independently.
  • You enjoy being a host and making people feel “at home” and safe.
  • You’re flexible and don’t mind working some weekends or reacting on short notice.
  • A passionate cyclist who loves helping others discover the joy of two wheels.
  • Not a full-on bike mechanic, but you can handle basic repairs and adjustments before bringing the bikes to the mechanic.
  • Fluent in English — and most importantly, you’re charming when you speak it, no matter how many words you use.
  • You love maps and have great orientation skills. You’re confident using navigation and GPS tools (such as Strava, Komoot, etc.)
  • You’re looking for fair compensation based on market standards — but could earn more for excellent results.
  • Experience in tourism, hospitality, or logistics is a big plus.
  • You have a valid driving B license. Van-driving experience is a bonus; instead you can have confidence and willingness to learn.
  • You have a personal car that you are happy to drive for work purposes (separate payment to be discussed).

Who are you

You are honest and integer and have a genuine passion for Romanian culture and heritage. You generally love being a host, having people around you and making them feel ‘at home’, safe and giving them goodies.  You are a good communicator and with a significant level of English and/or French (written and spoken), highly organised person for dealing with the client database - bookings, emailings, following up, receiving the clients when first arriving in Romania; having basic accountancy capabilities (costing invoicing), and willing to take initiative without being pushed from behind. You may be one of those persons taking notes with 3 different coloured markers just to make sure you don’t forget anything :).  Experience in tourism industry is welcomed, but the passion for the outdoors & Romanian culture is more important. Romanian geography knowledge would be an advantage for you but this can be further developed. Marketing and social media basic knowledge would also be a great deal, as you will contribute to our social media FB channel.  You are looking for a pay range within the market average for the same type of role in the sector.
